We know that calculating quotes and sending offers can be a time consuming task. Many of you have given us comments that pricing for simple trips and transfers should be automated so you can save on time needed for sending quotes.
Therefore and as a 1st step we have created a ‘Calculation Assistant’. You have now access to a 1st version of a tool that helps making quote calculations and sending quotes easier.

How do I make it work in my account?
First you go to the vehicles in your fleet and choose a vehicle you wish to ad pricing details for.
Steps are: Profile > Fleet > Edit> scroll down to Cost Variables per Bus /Vehicle
Once you have opened the ‘Edit’ mode. You’ll have to scroll down to the title called ‘Cost variables per bus/vehicle’. See this image below. Now please fill out the all cost variables for each vehicle on your fleet.
Now that you have entered the cost variables you can see a sample calculation when sending a quote from the moment you have selected a bus type for the quote you are preparing.
Steps are: Profile> Request>Quote this trip> select a bus type from the dropdown
After choosing a bus type from your fleet the calculation becomes visible but off course only if the Cost variables per bus/vehicle’ for that specific vehicle has been completed and saved. See the image below.
How can we improve it?
So what more should we include next in this tool? Should we add the calculation of empty rides (to / from garage) related to the pick-up and drop of clients? Maybe a pricing calendar to differentiate between high and low season days? An option to manually add discounts? Please tell us. How does the calculation work?
the calculation works by setting hourly rates for each type of vehicle on your fleet with an option to include some ‘free’ kilometres for each hour the client rents your bus. You’ll also set a rate per KM for the kilometres driven that are not included in ‘free kilometres’ that come with the hourly rate.
Is it accurate? Does it give a precise calculation?
No, not yet, far from that. In this 1st version we have only included the hours driving full/with passengers on the bus. For example we have not included the hours that you would drive empty or the hours that the bus is not driving but still working for the client. We’ll be adding other variable and formulas to make the price suggestion more precise but we would need your input to make it better.
Are we obliged to add free kilometres to our hourly rates?
No not at all. Some of our bus operators calculate hours and kilometres as separate units. In that case you can add the number zero ‘0’ in the field called ‘Kilometres included in the cost of 1 hour driving’ . You can use these variables as you wish.
Are we obliged to apply different rates for hours driving full, hours driving empty or hours not driving?
No not all. Most of our operators apply different rates for them but some just apply 1 hourly rate for all 3 types of working hours. You can use these variables as you wish.
How can we see what is calculated and what not?
Please click on the blue coloured information symbol to see the calculation for each trip. See image below.
Does the calculation takes the empty rides into account?
At the moment the formula of the tool only takes into account the hours driving full as entered by the client. Empty rides and ‘local tours/service’ must still be added by hand. Let us know by e-mail if we should add them and what the priority should be.
Why doesn’t the tool suggest the calculation for local tours?
If you want we can include that one in the next version. Let us know how you value them and calculate them and we’ll include it in the next update.
What happens when I click on the green coloured checkmark symbol for OK?
Clicking that heck mark will copy the suggested amount into the price box. Don’t worry if it’s wrong you can still edit and correct it.
I have selected a vehicle but there is no price suggestion showing.
Please double check if you also did enter also for that specific vehicle the Cost variables. Please also check to hit the ‘Save’ button when adding pricce variables.
Did you find a bug?
We have been testing and testing the tool but as with any new functionality there is always an option that you’ll discover a bug which we didn’t find. If that’s the case please mail the bug to us, if possible with instructions on how to reproduce it.
